School Year Programs (Running Mid-August through May):
- All school year programs run mid-August through May.
- Beginning with the start of the 2026-2027 school year, Rootz has eliminated separate Fall, Winter, and Spring sessions as well as separate registration dates per individual session.
- Families remain enrolled for the entire school year for all programs unless Rootz is notified of an enrollment change.
- Open registration is also accepted throughout the school year pending class availability.
- Payment is expected at the time of registration as defined by the class billing schedule.
- The total price of a School Year Program is calculated based on the number of hours in the studio for the entire year. This takes into account holidays and studio closures.
- School Year Programs are billed in ten equal installments. The ten installments are calculated based on the total price of the program for the school year.
- The first installment is taken at the time of registration and the remaining nine installments are billed from September through May on the 1st of the month.
- The tuition listed in the Registration Portal is the installment price. Should you want to pay for the school year in full, you can change the billing schedule from “Default” to “Session” as you complete registration.
Enrollment Changes (Drops or Transfers) for School Year Programs
- All installment payments for school year programs are non-refundable and non-transferable.
- No credits will be provided for any drops or transfers.
- All requests for enrollment changes (drops or transfers) must be submitted in writing via email or via the iClassPro registration portal and received NO LATER than the last day of the month to avoid being charged on the 1st.
- Upon cancellation, your enrollment ends, and you will not be charged going forward.
Summer Session, Break Camps, School Day Off Programs & Special Events
- These programs are billed in full at the time of registration.
- Drops/Transfers more than 15 days prior to start: Payments received will be applied to the customer’s account in the form of a credit. No refunds will be provided.
- All requests for enrollment changes must be submitted in writing via email or via the iClassPro registration portal.
Registration
- Admittance or rejection of a participant into a program/class is at the sole discretion of Rootz.
- Ages, grades, genders, and other designations/categorizations are just guidelines to assist with registration. As such, it is possible that children outside of those designations/categorizations will be accepted and participate in the programs/classes.
- Clients may not hold multiple registrations in the same class or hold conflicting registrations. Rootz will ask you to drop one of the classes. If a customer fails to drop the duplicate or conflicting classes within 24 hours, Rootz will drop them for the customer.
Waiting Lists
- Class waiting lists are automated by the registration portal for full programs on a first-in, first-out basis.
- Families must add themselves to a waiting list by completing the registration process via the iClassPro portal. No fees are collected to join the waitlist.
- When a spot becomes available, Rootz immediately notifies the next person on the list.
- If the spot is accepted, participants are then enrolled and charged. If not accepted, Rootz immediately contacts the next person on the list.
- If you no longer wish to be included on a waiting list, please inform Rootz to remove your name.
General Payment Policy
- There are no refunds once payments are received by Rootz.
- Payment can be made by cash, check, or credit card. Failure to make payment or special arrangements can result in the revocation of registration.
- If your payment is received after the 15th day of each month, a late fee of $50.00 will be added to your account. Students who fall more than one month behind on payments will not be allowed to participate in class until the account is paid in full, including late fees.
- Credits on customer accounts cannot be transferred to other accounts.
- Tickets will be required for purchase for recital and musical theater performances in addition to the cost of the class.
Cancellations & Modifications by Rootz
- In the event Rootz cancels a class due to insufficient registration, full refunds will be issued.
- Rootz reserves the right to modify class sizes, age limits, class formats, and class topics prior in order to improve quality and/or experience. These changes do not constitute the right for a refund.
Make-up Policy
- Make-up classes are allowed for Parent and Child Ballet, Parent and Child Dance, and Gym Jam classes only.
- The make-up class must take place within the same session as the missed class.
- Make-up classes are based on availability and need to be pre-arranged by a member of the leadership team.
Private Lessons
- Cancelled more than 24 hours prior: Payments received will be applied to the customer’s account as a credit.
- Cancelled less than 24 hours prior: No credits will be provided.
Drop-off & Pick-up:
- If your child is going to be picked up by someone other than a registered parent or guardian, a parent or guardian must notify the front desk in advance.
- Individuals picking up children will provide identification, if asked, to prove they are authorized to pick up the child.
Attire & Dress Code
Students must wear clothing and footwear appropriate for their specific class. For safety reasons, students wearing unsafe clothing (e.g., jeans in active gym classes, excessively dangling jewelry) may be asked to sit out of the activity.
Lost & Found / Personal Property
Rootz is not responsible for lost, stolen, or damaged personal property brought into the facility. Our Lost & Found is cleared out and donated to local charities on a regular basis.
Code of Conduct & Behavior Policy
Rootz strives to provide a safe, welcoming environment. Rootz reserves the right to dismiss any student or family from a program, without refund, due to severe or repeated behavioral issues, bullying, violence, or failure of the parent/guardian to adhere to facility rules and staff instructions.
Sick Child Policy
To protect our students and staff, children must be fever-free (without the use of fever-reducing medication), vomit-free, and diarrhea-free for a minimum of 24 hours before attending class.
Medical Conditions & Allergies
Parents/Guardians of children with medical conditions or allergies are required to provide documented instructions explaining how to manage these conditions and what steps to take in the event of an emergency.
Parties & Events
- Reschedule: Party dates can be rescheduled with at least 72 hours notice.
- Event Restrictions: Food and beverages are not allowed to be consumed in the facility. Glitter, confetti, fog/smoke, and other similar materials are prohibited. Client may not make any modifications or attach anything to the Rootz facility without written consent.
- Cleaning: Client agrees to return the room in the same condition that it was received. Failure to do so will result in a $25 per hour cleaning fee that will be billed to the client; payment is due within 48 hours of receipt.
- Damages & Losses: Client shall be responsible for all damages and losses caused to Rootz employees or property, or to third persons or their property by Client, its guests, or invitees. Rootz may directly bill Client for all such charges. Client agrees Rootz will not have any responsibility for damage or loss of any of Client’s property left anywhere on Rootz property prior to, during, or following the event.
Communication & Media Release
By registering, I agree that Rootz owners, directors, officers, managers, contractors, employees, agents, volunteers, participants, and all other persons or entities acting for them are authorized to:
- Use you or your child’s likeness in promotional material (Note: If you wish to opt out of the photo/video release, you must submit a written request to Rootz prior to your child’s first class).
- Utilize the contact information provided for marketing, class updates, and emergencies.
- Contact 911 or other medical professionals in the event of a medical emergency.
Force Majeure
- No refunds will be given for short-term closings that are outside of our control, such as weather, natural disasters, acts of terrorism, or public health issues.
- In the event that circumstances out of Rootz control require a long-term closure that prevents programming from taking place in-person at the start of the session, 100% of payments made by cash or check will be refunded, and 95% of the payments made by credit card will be refunded (5% retained to cover credit card processing fees).
- If long-term circumstances require Rootz to discontinue in-person programming after the session has begun, in-person programming will transition to virtual programming temporarily. Those not interested in continuing virtually can choose to drop their registered programming and will not be charged going forward.
Non-Disparagement
Client agrees to not make any action or statement, whether orally or in writing, intended to disparage or harm the reputation of Pingo Holdings, LLC, Rootz Deerfield, LLC, or Rootz Vernon Hills, LLC and their owners, directors, officers, managers, employees, agents, volunteers, participants, and all other persons or entities acting for them. In the event I shall breach the non-disparagement policy, I agree that these entities shall be entitled to injunctive relief, without the need to secure a bond, and to such other relief as may be provided by law.
Payment Disputes
- Client will reimburse Rootz for any fees associated with disputed payment card charges.
- In the event Rootz is required to employ an attorney or collection agency to collect unpaid fees, the Client agrees to pay all reasonable attorneys’ fees, court costs, and collection agency fees incurred by Rootz in addition to the principal amount owed.
Governing Law These policies and any disputes arising out of your participation in Rootz programs shall be governed by the laws of the State of Illinois. You agree that any legal action must be filed exclusively in the Circuit Court of Lake County, Illinois.
Definitions “Rootz” is defined as Pingo Holdings, LLC; Rootz Deerfield, LLC; Rootz Vernon Hills, LLC; and their respective parents, subsidiaries, affiliates, managers, members, contractors, and staff.
